Welcome to Mandeville Veterinary Hospital!
We’re looking for an experienced and organised Head Receptionist to join our team at Mandeville 24-hour Veterinary Hospital in Northolt.
This is a full-time role working 40 hours per week, with a rotating pattern of early and late shifts with a salary band of £31,138 - £32,698.
This is a fantastic opportunity for someone with experience on a busy reception desk who is ready to take the next step into a leadership role. You’ll be responsible for the day-to-day management of a small reception team, helping ensure our clients receive an exceptional level of care from the moment they walk through the door.
About your new role!
As Head Receptionist, you’ll play a key role in making sure the front of house runs smoothly, supporting your colleagues and maintaining a warm, professional and compassionate service.
This is a hands-on, hospital-based position combining day-to-day reception duties with the direct supervision and management of a small team. You’ll help coordinate daily activities, support colleagues when challenges arise and ensure communication between reception and the clinical team remains clear and effective.
As Head Receptionist, some of your duties will include:
- Providing a warm, professional and compassionate welcome to clients and their pets.
- Directly supervising and supporting the reception team in their day-to-day responsibilities.
- Helping coordinate reception activities to ensure the smooth running of the hospital.
- Supporting colleagues with client enquiries, challenging conversations and sensitive situations.
- Liaising with clinical teams regarding consultation delays, appointments and patient care.
- Ensuring appointments, referral bookings and client communications are managed accurately and efficiently.
- Maintaining high standards of administration, including clinical records, payments and insurance claims.
- Supporting accurate cash handling and other financial processes.
- Helping ensure reception procedures are followed consistently.
- Promoting a positive, collaborative working environment where colleagues feel supported.
- Identifying opportunities to improve the client experience and the efficiency of the reception service.
You'll need to be comfortable balancing your own reception responsibilities with supporting the wider team, remaining calm and organised even when the hospital gets busy.
What are we looking for?
We’re ideally seeking someone with previous experience working on a busy reception desk, preferably within a veterinary practice or hospital.
You’ll be someone who enjoys working with people, takes pride in excellent customer service and feels confident supporting others in a fast-paced environment.
Previous supervisory or team leadership experience would be beneficial, alongside the confidence to take ownership of the reception service and help the team perform at its best.
